JOB OVERVIEW: Responsible for maintaining the functionality of the office

Office Manager

We are looking for an experience office manager to run our home office.  Finance industry experience is desired but not required. This position is responsible for providing high level administrative and operational support to the firm’s investment advisors.  This self-motivated person should be a highly functioning multi-tasker willing and able to take on responsibility and meet deadlines, while staying extremely organized.  This person will be at the hub of both client and operational communications and will need to work seamlessly with both and properly prioritize their day.  This position requires considerable organization and a positive outgoing personality as well as exceptional client service skills both written and in person, as well as the ability to work well with all teams and departments and within their defined roles.

PRIMARY FUNCTIONS:

  • Help further the firm’s core values of, trust, compassion, and community.
  • Lead on answering phones, sorting mail, sending/receiving UPS, and greeting clients.
  • Streamline office supply order management.
  • Schedule and taking minutes on firm and staff calls, conferences rooms, etc.
  • Check depositing, logging, and tracking.
  • Organize staff celebrations: birthdays, special occasions, grill Fridays, etc.
  • Ordering meeting lunches.
  • Sending client birthday, new client, and holiday cards.
  • Ordering staff/client gifts.
  • Maintain office (stocking supplies, trash, kitchen, bathrooms, conference rooms, coffee and popcorn making, etc.)
  • Facilitate client holiday gift project.
  • Manage onboarding tasks of new employees (order name plate, set up EWM store account, etc.)
  • Manage EWM store accounts.
  • Facilitate ordering, delivery, and installation of office furniture.
  • Manage summer interns.
  • Manage/trouble shoot systems: key fob/door system, phone system, MyRepChat, printers, building alarm, IPads (Schwab and Marketing).
  • Manage building maintenance and scheduling services.

REQUIREMENTS

  • The right candidate would have high proficiency in the Microsoft Office Suite including Excel, Word and PowerPoint.  Additionally, the right candidate would be computer savvy, a self-starter, intuitive, and motivated.
  • SalesForce, TD Ameritrade and/or Charles Schwab experience desired.
  • A minimum of five years or similar work experience in advanced administrative activities, in the investment field is desired.
  • Must have excellent organizational skills and demonstrate the ability to prioritize daily workflow to effectively meet deadlines, while aiding in keeping the office running smoothly as well.
  • Must exhibit strong communication skills, both oral and written, to communicate key issues/results concisely and articulately in a manner appropriate to the audience, such audience including the executive level advisors as well as outside clients, team members and other internal departments.
  • Ability to work independently in a fast-paced environment with minimal supervision, and able to adapt to changing situations, client emergencies, and advisor/team prioritization.
